Job Description – Admin & Operations Coordinator

About the Role
We are looking for an Admin & Operations Coordinator to support the daily administrative and operational activities of the company. The role involves invoice management, bookkeeping support, vendor coordination, facility management, banking coordination, and basic IT troubleshooting to ensure smooth office operations.
Key Responsibilities
Administration
- Meeting vendors/ landlords in their office.
- Travel to check the office spaces within Baku. (Temporary)
- Manage day-to-day office administration activities.
- Maintain employee, vendor, and company records.
- Handle documentation, filing, and office correspondence.
- Coordinate office supplies and general office requirements.
Finance & Invoice Management
- Maintain records of invoices, payments, and expenses.
- Track monthly vendor invoices and payment status.
- Support bookkeeping and expense tracking activities.
- Ensure financial records are organized and up to date.
Vendor & Facility Management
- Coordinate with vendors, service providers, and facility management companies.
- Manage office maintenance, internet, security, cleaning, and utility-related activities.
- Track vendor contracts and service renewals.
- Obtain quotations and support procurement activities when required.
Banking Coordination
- Coordinate with banks for account-related documentation and requests.
- Follow up on banking requirements and maintain records.
Basic IT Support
- Provide first-level support for laptops, printers, internet, and email issues.
- Coordinate with IT vendors for issue resolution.
- Maintain records of company IT assets.
Compliance & Coordination
- Support audits by maintaining proper documentation.
- Ensure company records and operational documents are accurate and updated.
- Assist management with administrative and operational tasks as needed.
Requirements
- Bachelor's degree in Business Administration, Commerce, Accounting, or a related field.
- 2–5 years of experience in administration, operations, office management, or bookkeeping.
- Basic knowledge of bookkeeping and invoice management.
- Experience working with vendors and service providers.
- Basic IT troubleshooting skills.
- Good knowledge of Microsoft Excel, Word, and Outlook.
Language Requirements
- English: B2 Level
- Azeri Native (Russian is advantage)
