BSY is seeking a Production Administration & Reporting Specialist to provide administrative and reporting support to the Head of Shipbuilding Production, enabling greater focus on core production management.

Key responsibilities

• Prepare and maintain accurate, properly formatted daily, weekly and monthly production reports, trackers and management summaries within agreed deadlines.
• Collect, consolidate and validate data from production sections and relevant departments. Follow up on gaps, inconsistencies and material deviations, escalating unresolved issues to the Head of Shipbuilding Production.
• Prepare Excel spreadsheets, data summaries, charts and trend analyses for management review and decision-making.
• Monitor planned and actual manpower loading and man-hours across production sections, activities and projects using data supplied by responsible teams. Maintain trackers providing preliminary plan-versus-actual visibility.
• Follow up on missing or delayed manpower information and highlight significant deviations, resource gaps or unusual patterns.
• Perform or coordinate production-related 1C/ERP transactions within the role’s approved scope.

• A bachelor’s degree in Business, Economics, Engineering, Industrial Engineering, Management or a related field.
• At least 2 years of relevant experience in production or operations support, reporting, project coordination, planning, data analysis or a comparable data-intensive role.
• English at a minimum of B2 / Upper-Intermediate, with the ability to communicate with the manager in day-to-day business, write emails and explain reports and presentations.
• Fluent Azerbaijani language skills.
• Excellent Microsoft Office proficiency, especially Excel, Word and PowerPoint, including the ability to prepare clear, management-level presentations.
• Advanced Excel skills, including Pivot Tables, XLOOKUP/VLOOKUP, SUMIFS/COUNTIFS, IF formulas, charts, data cleaning and analysis of large datasets.
• Practical experience with ERP or enterprise data systems and the ability to work with large volumes of operational data.
• Strong attention to detail, numerical accuracy, analytical thinking and problem-solving, including the ability to challenge inconsistent information professionally.
• Strong follow-up, coordination, planning, prioritization and time management, with ownership, accountability and the ability to meet strict deadlines.
• Clear written and verbal communication and the ability to work effectively with production supervisors, managers and cross-functional teams.

Preferred

• 1C experience is strongly preferred.
• Experience in shipbuilding, ship repair, manufacturing, construction, heavy industry or another operational environment.
• Experience with manpower/man-hour tracking, production reporting or project allocation data.
• Experience preparing dashboards or structured management reports.
• Russian language proficiency is an advantage.

Conditions

• Based at Baku Shipyard.
• Office-based.
• Working schedule: 5 days a week, from 08:00 to 17:00;
